The first question I always ask in that situation isn’t about the agency at all. It’s this: how tight is the loop between your showroom and your marketing agency? How often is walk-in and sales data actually getting back to them? Once a week? Every other week? Once a month?

What Agencies Can See on Their Own, and What They Can’t

- The first is a shared Google Sheet, updated every few business days by someone in the organization, tracking walk-ins, ups, and closed deals as they happen. It’s low-tech, but it works, as long as it’s actually kept current.
- The second is giving the agency direct access to the dealership’s CRM, provided the CRM is actually being used correctly. That means walk-in dates, closed dates, and outcomes are being entered consistently, not just occasionally. A CRM full of gaps is barely more useful than no CRM at all.
Either approach works. What matters is frequency and consistency, not which tool gets used. An agency checking in on showroom data once a month is always going to be a step behind. An agency seeing it every few days can actually adjust in time to matter.

Once that data exists somewhere structured, whether it’s a shared spreadsheet or a properly maintained CRM, tools like Claude or ChatGPT can turn it into automatic, recurring reports. Sometimes that’s the right call.

Without fast, reliable data on what’s happening in the showroom, no agency, no matter how good, can fully optimize toward the thing that actually matters: revenue.
The dealerships I see who are getting the most out of their marketing spend usually aren’t working with a fundamentally better agency. Their agency is pushing them for the data, and the dealer actually closed the loop, treated the relationship like a real partnership, and gave their agency the visibility needed to make fast, informed decisions.
